1. Who is responsible for your information
The data controller for CleanerNearMe is INFINAEON AI MEDIA GROUP LTD, company number 16457097, registered office: 9 Gladstone Terrace, Leeds, United Kingdom, LS27 9LE. CleanerNearMe is operated through Lead Machine Pro as part of the company’s services.
For privacy questions or requests, contact cleanernearme.app@gmail.com.
2. Information we collect
- Searches: the postcode or area you enter to find relevant cleaning businesses.
- Enquiries: your name, email, telephone number, property postcode, cleaning type, requested service, frequency and any details you write, together with the relevant listing, submission date and email-delivery status.
- Business applications: business and contact names, email, telephone, website, address and postcode, business type, services, coverage areas, description, optional logos and photographs, and self-reported insurance and DBS-check status. We also keep review status and administration notes.
- Technical and administration information: request and security information, such as IP addresses used for rate limiting and server logs. Administrator access uses Replit sign-in information and session identifiers.
You do not need a customer account to browse or submit a public form. Please only provide information needed for your request, and do not send sensitive personal information, criminal-record details or information about other people without authority.
3. How and why we use it
We use information to show relevant listings, record and handle enquiries, send confirmations, review business applications, maintain public profiles, administer and secure the website, prevent misuse and meet legal obligations.
We rely on legitimate interests under the UK GDPR for routine directory and enquiry processing. Our legitimate interests include operating and improving CleanerNearMe, responding to enquiries and business applications, maintaining accurate directory information, preventing fraud and misuse, securing the service and dealing with complaints. We assess whether these uses are necessary and proportionate, taking account of your rights and the information involved.
Where processing is required by law, we rely on compliance with legal obligations. We do not use enquiry details for unsolicited marketing.
4. Enquiries and public listings
Enquiries are stored in our app database and sent to the central CleanerNearMe team inbox. If the selected cleaner has an email address registered with us, we also send them your enquiry details so they can respond to your request. We may send you an email confirming that your enquiry has been received. Enquiry details are not displayed publicly.
Business applications are stored in our app database and sent to the central CleanerNearMe team inbox. We may email the applicant a receipt confirming the application has been received; a receipt is not approval of a listing. Applications remain private while awaiting review. When approved, business-profile information—including contact details, service information, descriptions, relevant status information, logos and photographs—may be published in the directory. A business contact name may also appear if included in published content.
Public listings can be viewed by anyone and may be indexed or cached by search engines. Removing information from our website does not necessarily remove copies held by third parties immediately. If you use a listed business’s telephone, email or external website, that business handles the information you provide under its own policies.
5. Service providers and other sharing
People administering CleanerNearMe can access information needed for their work. We use the following providers to operate the current service:
- Replit: website hosting, database and image storage, and administrator authentication. Replit Privacy Policy.
- Resend: email delivery, including enquiry notifications, customer confirmations, business-application notifications and applicant receipts. Email addresses and the information included in each message are processed for delivery. Resend Privacy Policy.
- Google: our central inbox uses Gmail, which receives enquiry notifications and correspondence. The website’s fonts are self-hosted; your browser does not need to contact Google’s font servers to display them. Google Privacy Policy.
We do not sell personal information. We may disclose it when required by law, to protect legal rights or to investigate misuse.
International transfers
- Resend: stores email content and delivery data in the United States, including when an EU sending region is selected. Its Data Processing Addendum incorporates Standard Contractual Clauses with the UK Addendum for restricted UK transfers. Resend also states that it participates in the UK Extension to the EU–US Data Privacy Framework, a UK adequacy arrangement for covered transfers.
- Google/Gmail: processes information on servers around the world. Google’s published transfer framework describes reliance on applicable adequacy arrangements, including the UK Extension to the EU–US Data Privacy Framework for covered transfers to Google LLC, and Standard Contractual Clauses where required.
- Replit: hosting and processing can involve the United States and other regions. Its published Data Processing Agreement describes contractual safeguards, including UK transfer instruments, for covered commercial arrangements. The specific hosting geography and processing agreement applicable to this service have not yet been verified.
The linked provider terms explain their published safeguards. Contact cleanernearme.app@gmail.com to ask for information or a copy of the safeguards applicable to your information, with confidential details redacted where necessary. We do not claim that all information stays in the UK.
6. Retention and security
Our retention policy uses monthly manual reviews, rather than automatic deletion, to apply the following normal periods:
- Enquiries: 12 months after submission.
- Unsuccessful or withdrawn business applications: 12 months after the application is rejected or withdrawn. Pending applications are reviewed monthly so they are not left open unnecessarily.
- Active business listings: while the listing remains active. After removal, we retain only information needed to complete administration, handle an outstanding complaint or dispute, investigate misuse or meet an identified legal obligation. We review that need monthly and remove the information when it ends.
- Security and request logs: only while needed to monitor abuse, investigate a security incident or resolve a technical failure, subject to any legal requirement. We review retained copies we control monthly. In-memory IP rate-limit counters are cleared after their short limiting windows expire, at the next cleanup; they are not kept as enquiry records. Platform-held logs and backups follow the provider’s applicable retention settings.
Records reaching the end of their normal period are removed or anonymised at the next monthly review. We may retain necessary information for longer to deal with a complaint, dispute, misuse investigation or legal obligation. When doing so, we record the reason and next review date and remove the information once that need ends.
Related email copies and unused application uploads under our control follow the same schedule. Images still used by an active listing are retained with that listing. Provider backups may temporarily retain protected copies until their applicable retention cycle ends; third-party search caches are outside our direct control.
You can ask us to delete or correct information using the contact address above. We will assess requests under applicable data-protection law; you do not have to wait for the normal retention period to expire before making a request.
We use access controls and service-provider safeguards to protect information. No website or email system can be guaranteed completely secure.
7. Cookies
Public visitors do not need to sign in. Administrator sign-in uses necessary session and temporary authentication cookies to keep access secure. The current website does not use advertising or analytics cookies.
You can control cookies through your browser. Blocking necessary cookies may prevent administrator sign-in from working.
8. Your rights
Depending on the circumstances, UK data-protection law gives you rights to access your information, correct it, request erasure, restrict processing, object to processing and receive certain data in a portable format. Where processing relies on consent, you can withdraw that consent without affecting earlier lawful processing.
To make a request, email cleanernearme.app@gmail.com. We may need to verify your identity and will respond within the applicable legal timeframe. Some rights have exceptions.
You can also complain to the UK Information Commissioner’s Office at ico.org.uk. We would welcome the opportunity to address your concern first.
9. Children and policy changes
You must be at least 18 years old to submit a business listing application or use the website to make an enquiry about cleaning services. If you believe someone under 18 has supplied personal information through these forms, contact us so we can review it and take appropriate action.
We may update this policy when our practices or the website change. We will show the updated date on this page and provide further notice where required by law.
